A tour booking confirmation should let guests check what they booked, when to arrive, where the activity starts and what they still need to do. Include the booking reference and status, activity and participants, date and times, meeting point, payment summary and a useful contact. Put the details needed to arrive and take part first.
This is a practical structure for tour operators. Adapt the fields to your activity and the conditions accepted during checkout; remove anything that does not apply.
Start with the actual booking status
The subject line and opening sentence should distinguish between a request received, payment pending and a confirmed booking. Receiving a form does not establish that a place has been allocated. A payment started message does not mean a payment has completed either. Confirm only when the conditions of your booking process have been met.
If the place is confirmed but pickup details are still being arranged, state both separately: “Booking confirmed; pickup point pending.” Explain how and when you will send that detail, using a deadline your team can meet.
Order the details so guests can check them on a phone
- Reference and activity. Booking identifier, tour name, booked option, activity language and participant count. Distinguish adults and children where that affects the service.
- Date and times. Spell out the month to avoid confusion between date formats. State that times are local to the destination and separate arrival, departure and pickup times when they differ.
- Meeting point. Provide an address, a map link and instructions for recognising the entrance or your team. A beach, port or square name alone may not be enough. For pickup, use the location agreed for that booking.
- Preparation and inclusions. Summarise what to bring, how to present the booking and any purchased extras. Label an estimated finishing time as approximate. Do not introduce requirements or inclusions that do not belong to the activity sold.
- Payment. Total and currency, amount paid and any outstanding balance. Explain when and how the remainder is due under the agreed arrangement. A confirmation must not describe a pending payment as completed.
- Changes and contact. Link to the conditions applicable to that purchase and provide a channel your team monitors. Identify the operational contact for problems on the day if it differs from the sales contact.
Check that the confirmation uses the same booking record your team uses to manage capacity. If requests arrive through several channels, see how to manage WhatsApp and website bookings without double booking. For the payment details, read the guide to tour deposits and remaining payments.
A tour booking confirmation template to adapt
Replace the fields in brackets with the correct details. This is a template, not a real booking. Use “confirmed” only when that is the booking’s actual status.
Subject: Booking confirmed — [activity] — [date]
Hi [name],
Your booking [reference] for [activity and option] is confirmed.Participants: [number and categories, where relevant]
Activity language: [language]
Date: [day, month written out and year]
Arrival: [local time and destination]
Start: [local time]
Meeting point or pickup: [exact location, instructions and map link]What to bring or present: [instructions for this activity]
Your booking includes: [service and purchased extras]
Approximate finish, if relevant: [time and location]Total: [amount and currency]
Paid: [amount]
Outstanding, if applicable: [amount, deadline and agreed payment method]Changes and cancellation: [link to the conditions of your purchase]
Need help? [contact channel and support hours]
[Team or business]
Do not send unfilled brackets. If a detail is pending, replace the placeholder with a clear explanation. If it does not apply, remove the line so guests do not need to interpret it.
Check the message before sending
Open it on a phone and test the map, contact and conditions links. Compare the date, option, participants and payment with the booking record. Check the language of the subject line, body and linked information too: translating only the greeting leaves the main instructions unresolved. If you serve Spanish-speaking guests, check Spanish throughout the booking journey, including emails and linked pages.
If the departure time or meeting point later changes, keep the booking reference and highlight the updated detail. Use the agreed communication channel and avoid leaving contradictory instructions in successive messages.
The template is easier to maintain when your calendar, capacity and booking details are organised. Explore TurIA — Booking System for tours and excursions to see how Bookings could fit your activity operations.
